Administrative Assistant for the School of Arts & Sciences

The School of Arts & Sciences welcomes applications for an Administrative Assistant who will contribute to a collegial, professional environment that is the lead support for faculty, staff and students The Administrative Assistant is responsible for managing essential procedures and providing clerical support to the School of Arts & Sciences.

Essential Duties and Responsibilities

  • Provide lead administrative support to the Dean of the School of Arts & Sciences.
  • Preform administrative tasks in a timely fashion (e.g. contracts for faculty and payroll).
  • Prepare contracts for faculty, budget documents, Dean's List certificates.
  • Maintain faculty information in and utilize Datatel.
  • Coordinate book orders for courses in collaboration with the bookstore and order textbooks from publishers for faculty.
  • Assist in the onboarding process for faculty, including paperwork needed and coordinate with human resources.
  • Provide administrative support for faculty searches
  • Coordinate with human resources on paperwork for new employees.
  • Generate reports needed for scheduling, enrollment, and others as needed.
  • Update staffing for courses and course details for the School of Arts & Sciences.
  • Assign advisors to new students
  • Maintain and order supplies for the School of Arts & Sciences office and faculty lounge.

Qualifications

  • High school diploma or equivalent required.
  • Strong interpersonal, communication (oral and written), and organizational skills required.
  • Prior administrative assistant experience preferred.

 Required Knowledge Skills and Abilities

  • Proficiency with Google drive, docs, sheets and forms.
  • Typing proficiency.
  • Proficiency with MS Office (Word, Excel).
  • Knowledge of and ability to follow university policies and procedures.
  • Ability to establish and maintain effective working relationships. 
  • Ability to relate to a diverse population and to maintain composure when faced with difficult situations.
